TITLE: Library Assistant – Acquisitions

LOCATION: Sanford, NC
The Library Assistant for Acquisitions, located at the Lee Main Campus, is responsible for ordering collection materials and library supplies, maintaining records of library purchases, and forwarding invoices to the Business Office for payment. This position maintains several in-house databases and indexes, compiles library statistics, and produces reports and correspondence. This position also provides circulation services as assigned and performs other clerical/bookkeeping duties. Summer hours are based on a 4-day work week.
Create requisitions using the NC E-Procurement system and CCCC eForms for ordering library collection materials and supplies. Receive collection materials and supplies. Check shipments for accuracy. Work with vendors to resolve any order discrepancies. Check for accuracy and code invoices for all new collection materials and supplies received. Scan invoices for library records. Maintain MS Access databases for library budget expenditures and the DVD and CD indexes. Assist at the circulation desk as assigned or as needed. Provide patrons with computer, printer, and photocopier support. Gather and tally library gate count and quick reference statistics. Compile, produce, and maintain all library statistical reports. Track acquisitions and budget expenditure data. Provide compiled collection and budget data upon request. Assume responsibility for annual inventory of library office supplies. Assist with keeping the book collections in order. Record minutes of library staff meetings. Type and send thank you letters for library donations. Perform other duties as assigned by the Director of Library Services.
An associate degree in Library and Information Technology or a related field. A minimum of 2 years’ library work experience, preferably in a community college setting. A minimum of 1-year work experience in library acquisitions. A valid driver’s license
Excellent customer service and oral/written/interpersonal communication skills. Ability to maintain excellent working relations with vendors and staff in other departments. Working knowledge of the book publishing industry and library vendors. Accurate typing, filing, and bookkeeping skills. Ability to work accurately with numbers/math. Excellent organization skills and attention to fine detail. Strong computer/technology skills including Microsoft Office Suite (particularly MS Access) and automated library systems. Reliable, self-starter, strong work ethic, and able to work independently. Physical ability to do moderate lifting and to push full book carts. Travel between sites/campuses may be required on an as-needed basis. Working knowledge of the NC E-Procurement System.
